1. WHO WE ARE
This website, smbgindia.com, is operated by SMBG Trading Private Limited ("SMBG India", "we", "us"), part of the SMBG Group. We supply pet and aquatic accessories to retailers and distributors. This policy explains what personal data we collect through the website, why, who we share it with, how long we keep it, and the choices you have.
You can reach us at hello@smbgindia.com or +91 6235765075, or write to us at: SMBG Trading Private Limited, Door No. 18/187-A, Valiyangadi, Edayar North, Binanipuram PO, Aluva, Ernakulam, Kerala.
2. WHO THIS WEBSITE IS FOR
The portal is a business-to-business service for retailers, distributors and their staff. It is not meant for children, and you must be at least 18 to register.
3. WHAT WE COLLECT
Account details: your name, email address, phone number, company name, GSTIN (if you give one), password (stored only in encrypted, one-way form), and your role (retailer or distributor). If you sign in with Google, we receive your name and email address from Google.
Addresses: your shipping and billing addresses (name, phone, address, city, state, pincode) that you enter in your profile or at the time you request a quote.
Quotes and orders: the products, quantities and notes you submit, the quote's status history, delivery details such as courier and tracking number, and invoices we generate for you.
Preferences: for example, back-in-stock notifications you switch on, and your email alert settings if you are a staff member.
Activity records: when you sign in, or when your account or orders are changed, we record who did what and when. If someone tries to sign in to an account that does not exist, we record the email address or phone number they typed, so we can spot misuse.
Technical and usage data: your device and browser type, pages viewed and similar information collected by cookies and analytics tools (see section 7).
4. WHY WE USE IT
- To create and run your account and verify that you are a genuine trade customer.
- To prepare quotes, confirm and fulfil orders, arrange delivery and issue invoices.
- To send you service messages: registration approval, quote received, invoice and shipping updates, password links, and, if you opt in, stock alerts.
- To keep the website secure, prevent misuse and investigate problems.
- To understand how the site is used and improve it.
- To meet our tax, accounting and legal obligations.
We do not sell your personal data, and we do not use it for advertising to third parties.
5. WHO WE SHARE IT WITH
We use trusted service providers who process data on our behalf, only as needed to run the service:
- Hosting and delivery: Hostinger (website hosting) and Cloudflare (DNS, security checks and file storage).
- Database: Neon (PostgreSQL), with servers in Singapore.
- Email: Resend, to send the messages described above.
- Search: Algolia, to power product search. Search records contain product information, not your personal data.
- Analytics: Google Analytics, to measure site usage.
- Sign-in: Google, if you choose "Sign in with Google".
- Bot protection: Cloudflare Turnstile, on forms and sign-in.
- Delivery: couriers receive your delivery name, phone number and address so that your order can reach you.
Some of these providers are located outside India, so your data may be processed in other countries. We share data with authorities only when the law requires it.
6. HOW LONG WE KEEP IT
- Account details: for as long as your account is active.
- Orders, quotes, invoices and related records: for the period required by Indian tax and accounting law, even if you close your account.
- Activity records (sign-ins, changes to orders and accounts): 12 months, then they are deleted automatically.
- Backups: encrypted backups are kept for a limited period (about 35 days) and then removed.
- Registration requests that we reject: removed when you ask, or on a regular clean-up.
7. COOKIES
We use essential cookies to keep you signed in and keep the site secure. We use Google Analytics cookies to measure how the site is used. You can block or delete cookies in your browser settings; some features, such as signing in, may not work without the essential ones.
8. HOW WE PROTECT IT
Passwords are stored in encrypted form and are never visible to staff. Access to the admin area is limited by role, and staff see only what their role needs. Connections to the website are encrypted. Prices are shown only to the customer groups they apply to. No system is completely secure, but we work to keep your data protected and will tell you and the authorities about a data breach where the law requires it.
9. YOUR CHOICES AND RIGHTS
You may ask us to: see the personal data we hold about you; correct anything that is wrong or out of date; delete your personal data; withdraw consent you have given; or raise a grievance about how your data is handled. You can update your profile and addresses yourself after signing in. For other requests, email hello@smbgindia.com. We will respond within a reasonable time and in line with the Digital Personal Data Protection Act, 2023 and other applicable Indian law.
If you ask us to delete your account, we remove your personal profile where we can. Where you have order history, we may need to keep the order and invoice records, as described in section 6, and we will deactivate the account instead.
10. THIRD-PARTY LINKS
The website may link to other sites. We are not responsible for their privacy practices.
11. CHANGES TO THIS POLICY
We may update this policy from time to time. The date at the top shows when it was last changed. If we make an important change, we will tell registered users.
12. CONTACT AND GRIEVANCES
